OPERATIONS COORDINATOR 

Calle Del Mar is seeking a thoughtful, committed, and organized individual to support our LA-based team. This role’s purpose is to serve as a reliable foundation for our small but ambitious company, helping maintain team harmony through calm, proactive, and detail-oriented operations. The ideal candidate is adaptable, collaborative, and efficient, with strong communication skills and a background in operations, administration, or customer service experience. Responsibilities include a range of tasks outlined below.

Responsibilities:

  • Manage order fulfillment for both DTC and Wholesale Sales, including order upload, shipping documents and packaging instructions upholding brand standards of quality, efficiency and customer service

  • Communicate daily and manage relationship with 3PL warehouse

  • Maintain production and sample inventory across all locations including warehouse, factory and studio

  • Prepare and coordinate materials for production and sampling including but not limited to yarn, fabrications, packaging supplies and notions

  • Track and audit all shipping invoices including warehouse, local messengers and couriers

  • Manage all customer service inquiries including exchanges, repairs, questions & returns

  • Execute and project manage seasonal product upload to site

  • Coordinate flat lay product shots including reference organization, sample tracking and communication with appropriate team members to ensure timely updates to site and product launches

  • Weekly website audit and maintenance including copy, image and functionality updates 

  • Organize scheduling, set up, breakdown, product pulls and assisting client appointments, events and market

  • Keep detailed client books to provide luxury level customer experience and satisfaction

  • Responsible for company phone, studio walk-ins or visitors and funnel inquiries to appropriate team members

  • Post pre-approved social media content and update weekly metrics to support customer acquisition and sales 

  • Take pride in maintaining a beautiful, tidy and well-organized studio space by keeping stock of all supplies, scheduling cleaners and being proactive about any necessary maintenance

  • Maintain press contact details in master database; acquire and file all clippings. Field and coordinate press pulls with approval from manager and tracking of timely product return 

  • Assist Creative Director with all logistics (big to small) related to e-commerce and editorial photoshoots

  • Assist Creative Director in managing schedule, including but not limited to reservations, gifting, errands and research

Requirements:

- Access to Car & valid driver’s license.

- 3+ years of work experience preferably in an operations or logistics role

- Proficient in Google Suite, Microsoft Office

- Tech Savvy

- Highly organized, flexible with excellent attention to detail

- Excels in time and task priority management

- Excellent written communication & email etiquette

- Positive attitude & team player, calm under pressure

- No task too big or too small mentality

- Desire to join and contribute to a small, fun, hardworking team at an ambitious company

Desirables:

- Shopify Experience

- Experienced in Excel

- WMS or 3PL Management Experience

- Luxury Sales Associate Experience

- Adobe Acrobat and Photoshop proficient
